Create Incoming Mail Rules


When you create an incoming mail rule, you set up Mailloop 7.0 to search incoming mail for certain conditions, then take an action if it finds that condition.


All mail rules work on the if...then principle. If Mailloop 7.0 finds a condition, then it takes an action. For example, a mail rule might specify that IF any incoming message has a certain word in the subject line, THEN the message will be redirected to another email address.


Conditions you can specify


Mailloop can search messages to see if they meet any of ten conditions.
The first seven enable you to specify single words or phrases or combinations of words and phrases to look for in:

  1. the From field,
  2. the To field,
  3. the CC field,
  4. the Subject field,
  5. the Header of the message,
  6. the Body of the message,
  7. any part of the message.


The remaining three allow you to specify message size, attachments, or all incoming messages.


Actions Mailloop can take


When Mailloop 7.0 finds a condition you have specified, it can take one of 18 actions:

Autorespond with a message

Replies to the sender with an autoresponder message that you have composed.
Delete message from server Deletes the message as soon as it arrives.
Forward message to a list Forwards the message to one of your contact lists.
Mark to be processed again Downloads received/processed messages a second time. This is useful if you want to create a "string" of rules that send out more than one follow-up message.
Play a sound Plays a sound of your choice.
Post string to CGI Sends incoming message information to a CGI server on the web. This can be used to integrate Mailloop with third party applications and web forms.
Print message Prints the message as soon as it arrives.
Process email form To use this function, you must have a website and a web form on that site. When a person types their contact information into the web form on your website and clicks Submit, this function e-mails that information to Mailloop.
The incoming data from your web form must be in this format:

<fieldname3><delimiter><value>
For example:
First Name:John
Last Name:Doe
Email:johndoe@home.com
In the Process Email Form dialog box that appears, you will need to specify the delimiter used by your web form. In the above example, the delimiter is a colon ":". Next, select the list(s) that the information will be added to, then click OK.
Redirect message Redirects the message to another email address, or to one or more of your contact lists (no attachments allowed).
Remove email address Removes the email address of the sender from one or more of your lists.
Run external program Runs a program of your choice according to parameters of your choice.
Save attachment Saves attachments to a location of your choice.
Save email addresses Saves the sender's email address in lists of your choice.
Save message (text file only) to file Saves the message to a location of your choice.
Send message to list of contacts Sends the message to one or more of your contact lists. (Plus - You can add another message if you like.)
Send product code Sends a product code and/or password to a recipient.
Stop processing filters on the message Each message can be caught by multiple filters. For example, if you have three filters that are all looking for the word "free" in the subject, they will all act on the incoming message with "free" in the subject. However, the three filters are executed in sequential order. So, if the first filter has Stop processing filters on the message selected as an action, then the second and third filters will not receive the message.
Stop the account Stops the mail account as soon as the message arrives.
